You must agree to these Terms and Conditions in order to apply.
By submitting your application for one of our events, you are also agreeing to the information and Terms and Conditions set out on this page.
If any amendments or changes are made for particular events/venues, they will be clearly shown on the application form.
1. Booking Terms & Conditions
Traders must have relevant and up to date insurances, certificates and all relevant documents to your stall. Our general policy is ALL stall holders hold a minimum of £1,000,000 public liability insurance, this must be up to date and current and expired PLI will not be accepted. To comply with our own insurance requirements proof of insurance must be sent to us prior to any events. If for any reason PLI requirement is higher on particular events this will be stated on the application form. Those who do not send us copies of documents will NOT be able to trade on the day and no refunds will be given.
All completed application forms will be considered. Due to space and highly competitive categories it is not always possible to offer every applicant a stall. We do our best to ensure there is variety at every event, this not only acts fairly to you as a trader but also creates a better experience for our guests.
Please be as accurate as possible with listing what you’d like to sell within your application form/s. If there are any changes/updates to your products please let us know in advance. If products are not listed on application we may ask you to remove from your stall. To comply with trading standards and copyright laws we do not allow products that infringe on copyright laws. If you have these products you must show you have the correct certification authorising usage, if unable to you may be asked to remove from sale.
Toys must comply with the GOV.UK regulations. If you are making toys to sell on your stall, then you must make sure that your products meet these requirements or state clearly not suitable as toys.
We prioritise Artists, Crafters and small businesses in all our application considerations.
2. Stall Holder Payment Conditions
If you are successful in being invited to one of our events an invoice will be sent to the stated email on your application form.
All invoices will have 1-10 calendar days to be paid. The date and time frame to be paid will be on the provided invoice. The closer to the event an invoice is created the shorter the time frame will be given to be paid.
When announcing dates for the following year the following will apply (based on those booked in the current calendar year for the following year) -
First event of next calendar year for each venue will be an invoice due in full (time frame due may on occasion be extended)
All subsequent events applied for will be given as an option of payment of either "pay in full" or a £10 non refundable deposit per event to secure a place which will then be taken off the due total.
I.E - it's 2024 and in November 4 events are announced for 1 venue. You want to apply for all 4. An invoice will be sent for a full payment on the nearest event and an option of pay in full or deposit will be given for the remaining 3 events which fall after the first.
2. Event Cancellation & Refund Terms and Conditions
No refunds will be given for stall holder cancellations within 30 day of the stated event date.
Refunds may be awarded for cancellations outside off this time frame, but will incur a £10 admin fee.
In order for a refund to be awarded, bank details must be provided within 10 working days of announced cancellation.
All deposits are non refundable.
3. General Terms & Conditions
In the unlikely event of Abandonment & Limitation: In the event of cancellation, abandonment, postponement or limitation of the event, there will be no claim against the organisers who reserve the right to cancel or transfer the event to another venue and/or date.
If for any reason postponement or cancellation is the only resolution options will be communicated to all stall holders as soon as those options become clear. Any venue has their own right to cancel an event for any given reason, if the occasions occur we will do our best to offer alternatives dates or venue.
We cannot be held accountable for low turnout footfall for any event. As an organiser we will advertise across several platforms both online and physical. It is best course of action that both seller and organiser help with marketing events to achieve a broader audience.
We cannot guarantee the use of electricity at any event for stall holders. If you do require electricity you must state so within your application and we will try to accommodate where this is possible. Any electrical items used at a Be Events event must be PAT tested and compliant.
It is the stall holders responsibility to ensure a safe space around their stalls. All stalls must be free from trip hazards, and any other hazards. We ask that all stalls are covered with a table cloth (not provided by Be Events). We do not hold any responsibility for loss or theft of stock at events.
Each table booked with our events may only contain 1 business. If you have multiple businesses each business must be separate and a separate pitch space must be booked with us.
Be Events reserves the right to refuse entry for any of the above not being adhered to as a stall holder. Only stalls that have followed our application process, paid invoices will be allowed entry on the date of event.
All stall holders must vacate the premises of an even within 1 hour of an event finishing - eg: if an event finishes at 15.00 you must be vacated by 16.00. Any stalls who fail to comply will be liable for billable hours by the venue premises. Failure to comply will result in not being able to trade with Be Events at any future events.
